Before You Start: Pre-Application Phase

Before you even apply, complete these foundational steps.

Personal Financial Preparation:

  • Pull your credit reports from Equifax and TransUnion
  • Review credit reports for errors and dispute any inaccuracies
  • Calculate your credit score (aim for 680+ minimum, 720+ ideal)
  • Calculate your net worth
  • Determine how much down payment capital you have access to
  • Review your debt-to-income ratio

Property Research:

  • Identify target property type and location
  • Research typical cap rates in your target market
  • Understand vacancy rates and market rents
  • Calculate realistic property operating expenses
  • Determine what properties in your target category typically sell for
  • Understand typical DSCR requirements for your property type

Lender Research:

  • Identify 3-5 potential lenders or engage a mortgage broker
  • Understand each lender’s requirements and preferences
  • Get initial rate quotes or ranges
  • Understand typical LTV ratios offered
  • Learn about typical amortization and term options

Personal Financial Documents Checklist

Once you’re ready to apply, gather these personal financial documents.

Tax Returns:

  • Personal tax returns for past 2 years (complete, all schedules)
  • Spouse/partner tax returns if married or common-law
  • Notices of Assessment from CRA for both years
  • Statement of Real Estate Rentals if you own other rental properties
  • Statement of Business Activities if self-employed

Personal Financial Statements:

  • Current personal net worth statement (within 30 days)

Property-Specific Documents Checklist

For the specific property you’re purchasing or refinancing, gather these documents.

Purchase Documents (if buying):

  • Signed Agreement of Purchase and Sale with all schedules
  • Amendments or addenda to purchase agreement
  • Deposit receipt showing deposit paid
  • Listing information or property marketing materials

Property Financial Documents:

  • Current rent roll (list of all tenants with lease details)

  • Legal property description
  • Property address and municipal information
  • Building specifications (square footage, year built, parking spaces)
  • Recent property photos (exterior, interior, common areas)
  • Survey if available
  • Site plan or plot plan

Property Condition:

  • Recent building inspection report if available
  • Engineering reports or building condition assessments
  • Roof inspection or roof age/condition documentation
  • HVAC service records or age/condition information
  • Any environmental reports (Phase I ESA) if available

Business Documents Checklist (if applicable)

If you’re buying through a corporation or own businesses, you’ll need these.

Corporate Documents:

  • Corporate tax returns for past 2 years
  • Corporate financial statements (balance sheet, income statement)
  • Articles of Incorporation
  • Corporate resolutions authorizing the purchase and mortgage

Your Lawyer Will Prepare/Obtain:

  • Title search results
  • Title insurance
  • Mortgage documents for your signature
  • Property transfer documents
  • Direction re: title (how you want title registered)

At Closing You’ll Sign:

  • Mortgage documents (mortgage, promissory note, charge)
  • Personal guarantee if required
  • Assignment of rents
  • Any additional security documents lender requires
  • Property transfer documents
  • Statutory declarations

Pre-Closing Preparation Checklist

In the weeks before closing, complete these tasks.

Financial Preparation:

  • Confirm down payment funds are accessible
  • Arrange for closing cost funds (legal fees, land transfer tax, etc.)
  • Set up property operating bank account if not existing
  • Arrange for initial operating capital for the property

Property Preparation:

  • Arrange property insurance effective at closing

  • Arrange for property management if not self-managing
  • Plan for initial property inspection and condition assessment

Administrative Preparation:

  • Set up mortgage payment method (automatic withdrawal)

  • Set up bookkeeping for the property
  • Register business name if operating as business

Post-Closing Checklist

After you close, don’t forget these items.

Immediate Post-Closing (First Week):

  • Confirm property insurance is active
  • Do full property inspection and document condition
  • Meet with tenants, introduce yourself
  • Review all leases and tenant files in detail
  • Confirm all property utilities are active and in your name
  • Change locks if appropriate

First Month:
